Contacts & lists

Build contact lists from files, scans and searches; how X-Buddy identifies a person; do-not-contact, merging, tags and erasure.

Contact lists hold the people your X accounts work with: who to follow, who a campaign messages, who replied. Every person belongs to the workspace, not to one X account.

Where people come from

  • Manual — add a person by @handle or profile link.
  • File import — a list with an @handle or X profile link per row.
  • Scans — the followers or following of an X profile.
  • Search — people found by a keyword search on X.
  • Post engagers — people who liked, reposted or replied to a post.

Scans and searches run as jobs on your X accounts, so they follow the same limits and run hours as everything else.

Import contacts from a file

  1. Open a list and import a file. Each row needs an @handle or X profile link; names, notes, tags and extra columns are kept.
  2. Rows are sent in batches of up to 1,000; a bigger file is sent in several batches. One import takes up to your workspace's per-import limit (20,000 rows unless you change it); rows beyond it are left out and counted.
  3. If the import is interrupted, it resumes from the first batch the server hasn't saved. Rows already saved are never processed twice.
  4. Download the per-row results as CSV to see which rows were added, merged or rejected and why.

One person, one X ID

X-Buddy identifies a person by their X user ID once it is known (until then, by handle). Handles can change hands: two different X IDs are never merged just because they once used the same handle. When a person changes handle, the old one is kept as a verified alias, and the do-not-contact list and erasure cover it too.

Do-not-contact list

The do-not-contact list is workspace-wide. A person on it is never messaged, followed by a campaign or added to a sequence — even a job queued before they were added stops before clicking.

People get onto it when you add them, or automatically when an incoming message contains one of your stop keywords (for example "stop" or "unsubscribe" — you choose the words). Any reply also stops that person's sequences, as described in Campaigns & sequences.

Tags, notes and merging

  • Add tags and notes on a person, or tag many people at once from the list.
  • Merge with another profile combines two records of the same person. X-Buddy shows a preview first; some merges are blocked (for example two different X IDs). When both records have a custom field, the profile you keep wins.
  • Saves are revision-checked: if someone else changed the person meanwhile, you're asked to reload instead of overwriting their change.

Erase a person

Erasure removes a person's data from the workspace, including aliases. It is done only when every place that stores data — including each VPS — has confirmed; while a data hold is active, contact stops at once and deletion waits. Open the person and confirm by typing DELETE (in Vietnamese, XOÁ). Only Owners and Managers can erase. Erasure can't be undone.
